G U I D E L I N E S 

OF   THE 

SOUTHERN REGION FAA RETIREES ASSOCIATION 

These guidelines are prepared for use in preparing for and conducting  annual reunion of the Association. 

 1. SITE SELECTION:  A site should be selected at the earliest possible date following the annual reunion.  Factors to be considered are the availability of a golf course, tennis courts, and a RV  Park.  Recommended facilities at the site are: suitable dining room with dancing floor; sufficient room and a sound equipment for any entertainment proposed:  meeting room; hospitality room/space; banquet facilities/ car service; swimming pool; and sauna.  Also, nearby tourist attractions should be investigated.  Firm prices (negotiated in writing) should be established for all facilities and services provided by the site management.  Arrangements should be made for members to make room reservations and to pay for the room directly with the facility. 

2.  NOTIFICATION:  After a firm site and date selection has been made, a notification containing all details shall be sent to all members.  This notice should be sent as soon possible so that members may plan in advance.  In addition to the original notification, a reminder notice should be sent approximately 30 days prior to the date of the reunion. A post card will suffice for this second notification. 

3.  COMMITTEES:  Committees will be established as required to plan for and don duct the recreational activities of the reunion.  Committees may be required but not limited to the following:  Golf; Tennis; RV Park; and Door Prizes. 

4.  DOOR PRIZES: The President may authorize the purchase and/or solicitation of door prizes to be awarded during the reunion. 

5.  REGISTRATION AND HOSPITALITY:  Arrangements shall be made with the site management for a location to conduct the registration for attendees.  A hospitality room shall be provided where members may meet at any time for coffee, donuts and fellowship. A registration fee should be established to cover the banquet and the cost of coffee and donuts for the hospitality room.  It is suggested that the registration fee be collected at the registration desk established for this purpose.  Upon registering, members will be provided with names tags, door prize tickets, rosters, agenda, and other items of interest.
